How to Take Pet Grooming Bookings Online

A groomer's phone rings while both hands are on a wet spaniel. It rings again while the clippers are running. By closing time there are nine voicemails, six of which are the same question: how much for a cockapoo.

The answer is on the website. It is just not in a form anybody can book from.

Price and duration are the same decision

Grooming is unusual among appointment businesses because the length of the appointment varies enormously with the animal, and the length is what you are really selling. A nail trim is fifteen minutes. A full groom on a matted large breed is two hours and a different job entirely.

If your booking form offers one "Grooming" option, one of two things happens. Either every appointment is booked at the same length, and the long ones destroy the day, or you keep the diary loose and lose capacity to gaps.

So set the services up as the work you actually do, with honest durations:

  • Full groom, small dog and full groom, large dog as separate services, because they are separate amounts of time.
  • Puppy first groom, shorter and gentler, and worth naming because it is what a new owner searches for.
  • Bath and brush, for the regulars between full grooms.
  • Nail trim, short, and the one people book on the way past.
  • De-shedding, if you offer it, because it is long and should be priced as such.

Two appointment lengths on the same afternoon: honest durations fill a day, one generic length wastes it

Name them the way owners describe them rather than the way the trade does. A first-time customer looking for "puppy first groom" will not recognise a service called "Introductory package".

The buffer is not optional

Between one dog and the next there is drying, cleaning down, and the twenty minutes an anxious dog needs before anybody touches it. If the diary does not know about that time, it sells it.

A buffer attached to each appointment is what keeps the day honest. The times offered to the next customer start after the previous appointment plus its buffer, so a full day of bookings is a day you can actually work rather than one that runs 40 minutes late by lunchtime.

Two groomers means two diaries

Capacity here is people. Each groomer carries their own working hours, and a slot is offered when at least one of them is free, so a Saturday with two people on shows twice the availability of a Tuesday with one.

Owners with an anxious or difficult dog will often want the same groomer every time, and letting them ask by name is worth more in this trade than in most: the whole relationship is the animal trusting a specific person. If nobody is requested, the appointment is assigned to whoever is genuinely free.

Deposits, and the dog that never arrives

Grooming has one of the higher no-show rates of any appointment business, because the appointment is for an animal that may or may not be cooperative on the day, and cancelling feels consequence-free.

The response ladder is the same one every appointment business climbs:

  1. Confirm immediately, so the appointment exists in the customer's inbox and not only in their memory.
  2. Remind the day before. Most no-shows are forgetting, and a reminder is free.
  3. Publish a cancellation window and let the customer cancel themselves, so a slot lost at 48 hours can be resold rather than sitting empty.
  4. Take a deposit on new customers and on the long appointments, where a no-show costs you two hours you cannot fill at short notice.

What the website has to say before the form

A grooming site loses most of its bookings before the booking form, on the two questions the voicemails were asking.

  • How much, by size or breed. An exact price is not always possible, and a range with what changes it is. "Full groom, small breeds, from 35. Matting or a coat that has grown out will add time and cost, and we will tell you before we start."
  • How long it takes. Owners plan the rest of their day around it.

Answer both on the page and the phone gets quieter on its own. That is the same behaviour described in what patients look for on a clinic website, for the same reason: people book when the page has answered the question they were going to ask.

The diary is the point

Once bookings are arriving on their own, the value is not the form, it is the day laid out in front of you. Who is coming, which dog, what is booked, and where the gaps are. A gap you can see at 9am is a gap you can fill with a nail trim from your regulars. A gap you find out about when nobody arrives is lost.

FAQ

How do I price when every dog is different?

Price the services by size and coat type, publish a from-price with what changes it, and be explicit that matting or an overgrown coat adds time. Owners accept a range that is explained. They do not accept a surprise at collection.

Can I take group or class bookings?

No. Each appointment holds its groomer for its duration, which is right for one-to-one work and wrong for anything with places in it. This is a one-animal-at-a-time diary.

What if a dog needs longer than booked?

Book the honest duration up front and use the buffer for the overruns you cannot predict. If a particular dog reliably takes longer, book them into the longer service rather than absorbing it every time.

Should new customers pay a deposit?

It is the single most effective place to use one. Existing regulars rarely need it; a first-time booking from someone you have never met is where the no-shows are concentrated.

Can I add walk-ins and phone bookings to the same diary?

Yes, and you need to. Anything added by hand takes the slot out of what the online form offers, which is what keeps one diary rather than two.
