Staff time off

If more than one person takes appointments, each needs a staff record. It decides who can be booked, for what, and when.

Add someone

Bookings > Staff, then add a staff member with their name, contact details and role.

Two settings decide their availability:

Setting What it does
Services offered Which services this person can be booked for. Someone not offering a service never appears for it.
Working hours Their own hours, overriding your business hours. Breaks go in here too.

A lunch break is a break within one working day, not two separate shifts.

Letting customers choose

Let customers pick staff in Settings > Bookings decides whether visitors see who they are booking with. On, they choose. Off, availability is pooled and you assign.

Pooled works better when your staff are interchangeable, because it fills the diary more evenly. Naming them works better when customers come back to a particular person - a hairdresser, a trainer.

Time off

Bookings > Time off blocks a staff member between two dates with a reason. This is how you book a week off, a single day, or any other absence - holiday, training, illness.

Blocked time disappears from the calendar and cannot be booked over. Existing bookings inside the range are not cancelled for you, so check the calendar before adding a long block, and contact anyone affected.

Add time off as soon as you know about it. Every hour it sits unrecorded is an hour someone can book.

Good to know

  • Deactivating a staff member stops new bookings without deleting their history.
  • One person, one record. Two records for the same person means their two calendars can be booked at once.
